Due to expansion of our operations, for our office in Skopje we are looking for Workplace Coordinator. Responsibilities
- Day-to-day coordination of the Facilities service requests, Reception, Mail and courier services, waste and cleaning staff
- Understand importance of Business Continuity Coordination.
- Understand responsibilities through the management agreement. Have early appreciation of client needs.
- Proactively manage FM supplier contracts, implications of operational changes. Coordination of outsourced service providers to ensure the satisfactory performance and compliance with contract obligations.
- Participation in the local vendor sourcing process; negotiation of local vendor contracts, tendering
- Detailed knowledge of client FM contracts
- Input into the FM Health & Safety program to ensure compliance with all relevant workplace Health & Safety legislation and compliance with companies’ policies and procedures.
- Management of local Budget and financial processes
- Management of local FM operating budgets and cost efficiency efforts.
- Production of monthly analysis, re-forecasting, and accruals of the Opex & Capex budgets to demonstrate achieving financial KPI’s.
- Day-to-day operations coordination of security services in coordination with regional security.
- Proactively inspects the facility, systems, rooms, common areas, etc. to ensure office is maintained to a high standard
- Monitors and manages facilities request system and provides statistics on a monthly basis to Lead FM.
- Trains client employees how to use FSC (Facilities Service Centre) through regular communications and RE&F appropriate working processes set up in the office.
- Work alongside with clients of real estate department to coordinate contractors for internal moves for planned head count changes.
- Data gathering, analysis and reporting - Sustainability, Energy, Utilities etc.
- Identifying and documenting internal policies and procedures, providing clear communication to subordinates and client employees.
- Collect, assemble and prepare reports using Excel, PowerPoint and Word.
Qualifications
- High School Diploma or Colleague Degree
- Written and verbal communication skills in both languages, Macedonian and English
- Proficiency in Microsoft Word, Excel and Outlook
- Ability to handle sensitive and confidential information
- Excellent time management
- Excellent organization skills
- Minimum of 2+ years of prior office experience
- The qualified candidate should be detail and customer oriented, extremely professional, proactive
- Appropriate work ethic / commitment level required
